At the Victoria Data Society (VDS), we’re committed to respecting your privacy and being transparent about how we handle your information. Here’s a clear breakdown of what we collect, why we collect it, and how we protect it.

1. What We Collect and How We Use It

  • Memberships & Newsletters: We use Squarespace to manage our paid memberships and newsletter. If you join as a member or sign up for our newsletter, Squarespace securely stores your information, which we use to keep you in the loop about upcoming events, news, and opportunities.

  • Meetup Platform: To reach a broader audience, we also use Meetup to manage community events and keep track of attendees. If you join us through Meetup, we may add you to our email newsletter (hosted by Squarespace) to stay connected and make sure you don’t miss any VDS happenings.

  • Volunteers & Partners: For volunteer and partner management, we keep our records on Google Drive. This includes information about our volunteers and partners, which we need to stay organized and meet our legal responsibilities as a society.

  • Additional Services: Sometimes, we use other platforms and plugins like Menti, Mailchimp, or Eventbrite to help us deliver services or make events run smoothly. When we use these tools, we handle your information with care and only use it to provide the service you’ve signed up for.

2. What We Don’t Do

We never sell your personal information, period. We also don’t share your information with any other organization, and we only use it to provide the services you’ve asked for.

3. Event Photos

We love capturing the moments at our events! Occasionally, we share event photos on our website or social media. If you’d prefer not to be included, just let us know, and we’ll gladly remove any photos of you.

4. Your Privacy Choices

Your trust matters to us. If you ever want to be removed from our records entirely, just reach out, and we’ll delete all your information from our systems. (The only exception is if you’re serving or have served on our board, in which case we’re required to keep a legal record of your role.)
